Payment Links – Sending Payment Request

Client Diary offers multiple ways to sent the payment link, both automatically and manually for a specific appointment in the calendar or manually request a client.

Send Deposit Payment Request for a specific appointment

automatically

When creating an appointment in the calendar, select Send Deposit Payment Request. Client Diary will calculate the request amount based on your Payment Links settings and send the SMS to your client as soon as the appointment is created.

Note: The request amount cannot be changed.

manually
  • Click on the appointment on the calendar.
  • Click Send Payment Request button and check the request amount.

Note: The request amount is automatically calculated based on your settings but can also be changed.

When a client completes a Payment Link for an appointment, Client Diary will show Paid Deposit for that appointment in the calendar. This helps you quickly identify which appointments have paid deposit and which have not.

Send Payment Request to a client

If you just want to manually send a payment request to a client which does not attach to any appointments, you can Send Payment Request from Clients page as the screenshot below.

Note: The request amount is not calculated because there is no appointment to base on, you will need to manually put in the request amount before sending.

Sending from the Point of Sale

Getting to the Point of Sale and the Client might say they forgot their card or they don’t have cash for the Service, for this you can send the Client a Payment Link straight from the Point of Sale for them.

When at the Point of Sale, press Send Payment Request

After your client succesfully completes a Payment Link, you will notice 2 changes in Client Diary:

  • A new “Add Credits” transaction will appear in that client’s purchase history with Stripe as payment method and the credits amount is the amount you requested in the Payment Link.
  • Client’s Account Balance will increase by the same amount above.
